TERMS AND CONDITIONS RELATING TO COURSE FEES AND CONCESSIONS

Fees recorded on this website are valid for the 2011/2012 academic year. All students are required to pay the full relevant course fees listed on this website in accordance with the terms and within the times described below, with the exception of the following, that may be eligible to claim a concessionary fee:

Students in these categories must provide evidence satisfactory to the College to support any claim for 100% concession.  This is usually in the form of their official benefits notification letter.

Registration and examination fees are payable by the student. This concession covers tuition fees only.

Look for courses with the 19+ symbol.

Asylum Seekers or Refugees Fees as in the prospectus Prospective students will have to provide evidence of their status through official documentation from the Home Office.

Full fees will be payable unless the student is in receipt of a means tested benefit, when a 100% concession applies to tuition fees. Evidence must be provided.

Registration and examination fees are payable by the student.

Additional circumstances where tuition may be free

Tuition may be free for students who come within the following categories:

  • Students aged 19-23 studying for their first full Level 2 qualification (e.g. Level 2 Diploma)
  • Students aged 19-23 studying for their first full Level 3 qualification (e.g. Level 3 Extended Diploma)  

You will be asked to sign a declaration stating your highest level of qualification in order to apply for free tuition under these entitlements. Contact the Admissions Office if you require any additional information on these entitlements to free training by calling 0500 551434.

Hadlow Easy Low Payments (H£LP)

All part-time courses (excluding work-based qualifications) where fees (including tuition, examination, registration and sundry items) are in excess of £200 are eligible for H£LP.

You will need to pay an initial proportion (25%) at the time of application can then spread the remaining cost of the course over its duration through equal direct debit payments.  The first of these would be taken the month the course commences.

Additional information concerning fees

Courses that are more than one year in duration may be subject to an increase in fees at the beginning of the second academic year, in line with College fee policy. Students returning to the second year of a course will be asked to pay their second year course fees in advance of their return to College. The College will write to the student and ask them to complete a re-enrolment form and make payment (if required).

Prospective students are not permitted to enrol on College courses until fees are fully paid in advance to the College Finance Office, or evidence satisfactory to the College for a fee concession has been received and confirmed by the Admissions Office.

Anyone under 16 is not usually permitted to enrol on courses at Hadlow College, with the exception of those courses listed for school age students. Under exceptional circumstances a student aged under 16 can be accepted for one of our main part-time courses, however this is at the discretion of the Admissions Manager. Those aged over 16, who are already enrolled on full-time courses at other further education colleges or schools should contact the Admissions Manager to enquire about their eligibility to enrol at Hadlow College. Higher education tuition fees

Information about tuition fees for part-time higher education courses will be available on application from the University of Greenwich. As a rule they are paid on a pro-rata basis to full-time higher education fees. Please call 0500 551434 for more information.

How to pay

The College accepts payment for its courses by any of the following methods:

 • Cash

Please come into the main reception, where we will be happy to give you a receipt for your payment straight away and confirm your place on the course if places are available.

 • Cheque

Please make your cheque payable to Hadlow College and attach it to your application form. It is also helpful if you write your full name and proposed course on the reverse.

• Debit/credit card (JCB/ Maestro/ MasterCard/ Visa)

Payment should be made either in person, by post (by completing the details on the reverse of the application form) or over the phone by calling 0500 551434.

Once payment has been received, we will book you on the course. Full enrolment details will be sent to you with your receipt for payment.

If you wish your employer to be invoiced for the course, please ensure that you apply at least 10 working days before the commencement of the course and give full details of the company to invoice. This should always include the signature of the authorising person.

Students who receive means tested benefits

Some of the courses at Hadlow are delivered with a concession which means that, if you are in receipt of a means tested benefit, you may be able to claim a concession on the cost of tuition fees. Please contact 0500 551434 for further information if you think you may be eligible. In all cases, registration and examination fees, and any other compulsory fees, will have to be paid before enrolment even if a tuition concession is available.

Financial help with fees

Grants for part-time courses are very limited, but don't be put off asking for advice from Hadlow College. We will always give you advice about your chosen course and any grants that we feel you may be eligible to apply for. Some students may be eligible for assistance from their local education authority. Some of our higher education courses may attract a higher education grant, or you may be eligible to apply for a Career Development Loan. Information packs are available from the Admissions Office by calling 0500 551434.

In addition, the College has a special fund to help all further education (but not higher education) students who may need financial assistance with the costs of attending College. This is called the Learner Support Fund and is designed to help students on a low income, who are not eligible for concessions or grants, with costs such as tuition fees, travel, equipment and childcare. Cancellations by the College

The College expects that all courses will run as advertised. However since our courses are subject to minimum enrolments, we reserve the right to cancel courses at short notice. Under these conditions we aim to inform you at least 5 working days in advance and refund fees in full.

Cancellations by the student

When cancelling a confirmed booking on a course, refunds will only be considered if the prospective student contacts the College at least 10 working days before the expected start date of the course. A £20 administration charge will be levied against all refunds.

Cancellations made less than 10 working days prior to the commencement of the course will not be eligible for a refund, but tuition fees may be used (at our discretion) against another course. In this case, any unused funds would remain on account with the College for future use by the student within the academic year. This is not the case after a student has enrolled on a course: see refunds below.

Fees paid by a student can only be used within the same academic year to which that payment applies, e.g. September 2008 to August 2009. Unused funds cannot be transferred to another academic year and cannot be refunded.

Withdrawals and refunds

Refunds after enrolment are made only under exceptional circumstances, such as a certified illness that would prevent a student from otherwise attending or finishing a course. Students should apply in writing to the Registrar and enclose appropriate evidence (e.g. a Doctor's Certificate) before a refund can be considered. In this event, students would receive a refund calculated to be the pro-rata equivalent of the weeks left on a course that cannot be attended or continued, less a £20 administration charge. For floristry courses, with a resource charge, a refund may also be made on a pro rata basis if applicable.

Refunds are not normally approved if, for example, a student has moved away from the area, or has changed employment leading to non attendance.

Withdrawals before examinations

It is an express condition of acceptance onto a College course that all students must enter and sit examinations if examinations are an integral part of their course. There are no exceptions.

A good example of this is the RHS certificate programme. The College is funded by the Government and closely monitored in terms of achievement. Any student who deliberately withdraws in order to avoid taking an examination is therefore recorded as a failure. If a student withdraws from a course, without exceptional circumstances, such as a certified illness, during the 28 days immediately preceding the examination, it is a condition of all students' attendance at College courses that the College reserves the right, and is entitled to charge, the student a fee of £500 for the loss of government funding arising from the situation. Your booking, paying for or starting of a course is your express acceptance of this right and you will pay such a charge if it is levied in the circumstances described.

Transfers

In exceptional circumstances a student may transfer from one part-time course to another after enrolment. If the replacement course is more expensive than the original course, then students are required to pay the difference in fees. However, refunds cannot be made if a student transfers to another course which is less expensive. Transfers are made at the discretion of the College and students who wish to request a transfer should contact the Registrar on 0500 551434 for further details. An administration fee of £20 is levied against all transfers.

Late enrolment

A student will be responsible for full payment of any tuition fees once they have enrolled, regardless of the length of time they remain on the course. In the event that a student enrols late onto a course and commences it before payment is made, fees must be paid within 48 hours of enrolment. Subject to other terms on this website, your legal liability to pay tuition fees in full arises 10 working days before the start of a course.
